Job Description

Qontigo, a global financial intelligence innovator, is seeking an Office Manager amp; HR Support to join their team in Hong Kong. In this role, you will be responsible for managing the daily operations of the office and providing support for HR functions. This is an exciting opportunity to join a company at the forefront of modernizing investment management and work with a global client base of major financial products issuers, capital owners, and asset managers.


Responsibilities
  • Provide daily on-site support to our Hong Kong office and liaise with other offices globally
  • Manage the reception area and maintain a professional, welcoming atmosphere.
  • Manage office and pantry supplies inventory, order, receive and unpack the deliveries
  • Work with the People Team to provide ad-hoc HR support
  • Work with the Sales team to provide admin and language translation support
  • Support with onboarding new joiners and offboarding for exiting staff with remote managers
  • Provide help with global Facilities Management projects
  • Provide local onsite support for the IT team
  • Coordinate booking of conference and meeting rooms
  • Coordinate on-site internal and external visitors' seating and support
  • Maintain safe and clean office common areas
  • Liaise with building maintenance, contractors, and cleaning staff as needed to ensure that the office is clean and in good working condition
  • Assist with Office access and Lockers
  • Assist with planning and coordination of internal events such as company town halls meetings, executive meetings and offsites, office lunches, team events, and holiday parties
  • Manage relationships with vendors, review and reconcile invoices
  • Manage postal and courier services including receiving company documents and internal dispatchment

Requirements


  • Demonstrated knowledge of HR functions and processes.
  • Excellent communication and interpersonal skills, with a professional and welcoming demeanor.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficient in Microsoft Office Suite.
  • Good grasp of English language and Cantonese, written and spoken, Mandarin or Japanese would be a plus
  • Ability to prioritize multiple tasks effectively in a fast-paced environment, working both independently and with teams
  • Right to work in HK required
