Job Description
Our Client a IT company is looking for IT Procurement to Payment and Asset Administration Support Services.
- Asset Administration Full asset life cycle management from asset receipt, asset creation in system, asset transfer, asset disposal in system.
- Asset Management Lively track and follow up asset status for any changes
- Asset Management Manage IT assets including asset life cycle, versioning and dependencies in the asset management tools, attributes, the Asset library, the Configuration Management Database, Configurable items
- Asset Management Perform verification and audit of Asset Database content; verify and confirm IT assets with actual inventory, and initiate corrective actions and tract them
- Asset Management - Maintaining hardware/software inventory database to ensure compliance
- Asset Management Manage MOQ of stock
- Asset Management - Perform regular IT Stock Take exercise
- Asset Management Participate in IT Asset System project and UAT
- Procurement-Perform the entire process of IT procurement, including but not limited to:
- Review procurement applications and related documents
- Prepare procurement plan of IT procurement projects
- Prepare inquiry documents, demand proposals, tender documents, etc.
- Formulate evaluation criteria of procurement projects
- Inquiry and negotiate with candidate suppliers
- Review proposals, quotation documents and other materials submitted by candidate suppliers
- Arrange or participate in candidate supplier Qamp;A or organize panel meeting
- Prepare and review procurement materials
- Prepare procurement result approval documents
- Terms and price negotiation
- Review procurement contracts
- Propose suggestions for streamline procurement process and method optimization based on daily operations
- Payment - Support the function’s daily operation with specific focus on IT payment and procurement related task
- Payment - Review on IT invoices, obtain receipt and submit to Finance payment team, maintaining IT cost tracking record and ensure compliance with company policies and internal control processes
- Payment - Follow up on outstanding IT invoices and vendor statement proactively. Handle enquiries from external vendors, multiple key internal stakeholders regarding payments
- Payment - Process invoice independently (from receiving invoices to payment settle) and manage other team members to process invoices.
- Payment - Payment cost allocation, consolidation for reporting.
- Payment - Payment Record management, File management, tracking/status of process
- Payment - Manage financial closing payment target KPI achievement
- Payment - Fixed asset creation, register, import and submission
- Payment - Fixed asset record amendment(if required)
- Handle any ad-hoc assignments as per management request
Requirements
- Degree holder in Accounting, Information Systems, IT, Procurement or related disciplines
- At least 2-5 years of IT / Asset Management/Administration/Procurement experience
- At least 2 years’ experience in Finance or similar functions with IT institutions
- Sound knowledge in budgeting, monitoring utilization activities
- Hands-on financing skills in tracking and monitoring capitalize and operational expenses
- Experience with asset management/procurement system in advantage
- Proficient in Microsoft Office, Excel, Power Point
- Well familiar with IT projects, operations and execution
- Strong interpersonal, communication and organizational skills, sound analytical thinking and good team player
- Good command of spoken and written Chinese, Mandarin and English.
